How to approach the comparison

Almost every club software includes a member list and email sending. The differences are mainly in accounting, member payments, and the question of how much work remains with the board. That is why accounting comes first here, because the treasurer works with it the most.

    Is accounting integrated?

    What to look out for

    For the audit and general meeting, the treasurer needs a balance sheet and an income statement. So check whether the software uses double-entry bookkeeping, whether you can adapt the chart of accounts to your club, and whether there is a budget and year-end closing. Just as important: invoices and payments should go directly into the accounting instead of you entering them a second time.

Also ask how members can pay, because with TWINT an invoice can be paid on a phone in just a few seconds.

Frequently asked questions about comparing

How do I meaningfully test club software in 14 days?
Try out what you actually do during the club year: upload your member list from Excel, send a fee invoice to two or three test members, and then upload an account statement. Then you will see whether the payment is assigned correctly. At the end, ask a member to change their profile in the member area, and approve the change.
Who from the board should be involved in the comparison?
At least the treasurer and the person who currently manages the member list. These two work with the software most often and notice fastest during the test whether a process fits. For the rest of the board, you assign permissions per person and can change them again at any time, for example after a change on the board.
Can we take our data with us again later?
You can download the member list as an Excel file at any time. From the accounting, you export the balance sheet, income statement, and journal as Excel and PDF, plus the budget as PDF. This gives you your data in common file formats that can also be opened in other programs.
