- Accounting in the same system
- If your club accounting runs alongside the member list, you maintain everything twice. So check whether invoices can be created directly from the member data and whether the payment automatically lands in the journal. For the treasurer, this is the point that saves the most time.
- Price for the whole club
- Always calculate the price for a full year and for your actual number of members. Pay attention to two things: offers are often listed per month but billed annually, and individual functions are included in the base price or cost extra depending on the provider. A comparison only works when both figures refer to the same term and the same range of functions. Our price list is publicly available.
- Data protection and your own data
- The member data belongs to the club. Make sure the solution complies with the revised Data Protection Act, that you can fully download your data at any time, and that it is clear where it is stored.
- What members can do themselves
- Every address change that a member enters themselves does not end up on the board's desk. Take a look at what members can do without you: maintain their own profile, register for events, access invoices and documents. Test this on a mobile phone, not on a computer, because that is where most people open things like this. If it is awkward on a mobile phone, it will not be used, and then the work still stays with the board.
- Moving your existing data
- Your member list is probably in Excel or in an older program today. Before deciding, clarify which format it can be imported in, whether the columns can be matched to the fields, and what happens to the previous years' accounting data.
