What do you need the sponsoring module for?

For many clubs, sponsoring is the most important source of income besides membership fees — and yet the organisation often runs via Excel lists, email folders and the treasurer’s memory. Every season the same search: Who sponsored last year? For what amount? Who is responsible for which sponsor? Who has already paid?

The sponsoring module maps the entire process, from recording sponsors to packages, assignments and invoices all the way to thank-you communication after the season. Everything in one place, with clear responsibilities, and directly connected to member management and accounting.

One sponsoring project per event

A sponsoring project is a specific campaign with its own purpose, its own duration and its own packages. Typical examples: jersey sponsoring for the 2025/26 season, perimeter advertising in the stadium, the 50th anniversary celebration or financing new infrastructure. Each project has a start and end date, a budget, defined packages (Bronze/Silver/Gold or any custom tiers) and a sponsor list. When the season changes, you copy an old project as a template into the next year; sponsors and packages are already included, you only adjust dates and amounts. That way, knowledge isn’t lost when the board changes.

Packages, Bronze to Gold or completely flexible

Bronze, Silver, Gold or completely free package definitions, with fixed amounts or open amounts (the sponsor decides). Per package: account allocation, image and description. Everything a sponsor expects.

Sponsor assignment per member

Each sponsor is assigned to a contact person in the club who has the best connection. That can be a board member or a committed member who maintains the relationship privately. Assignment via selection, feedback status (requested, confirmed, declined) and responsibility are visible to everyone. No duplicate outreach, no forgotten sponsor.

Sponsoring invoices automatically from project and package

Sponsoring invoices are created automatically from projects and packages. With QR code, TWINT and credit card. Budget checks, outstanding amounts or maximum amounts are taken into account. Incoming payments flow back into the project automatically and update the sponsor status.

Sponsor communication via email, push or letter

Invitations, progress reminders and thank-yous go out as a personalised campaign: email, push, or (if no email is on file) directly as a physical letter via Swiss Post. Each sponsor gets the message on the channel they use.

Zefix import, sponsors correctly from the commercial register

Instead of painfully typing company name, UID and address, you pull the full commercial register entry from Zefix with one click — and the sponsoring invoice is correct on the first send. No returns due to a misspelled company name, no discussions with the sponsor’s accounting department.
